Commercial service 02 · Automation Sprint

A working automation in two to four weeks, at a price fixed before we start.

One bounded build, delivered in weekly slices you can see and test. Intake portals, document collection, workflow automation, integrations, dashboards, and AI assistants that draft or sort while a person makes the decision.

  • 2 to 4 weeks
  • Fixed price, scoped up front
  • Remote build, with on-site kickoff and training in the Phoenix metro on request

OutcomeA tested automation running in your accounts, with your staff trained, an admin guide, and a short list of known limitations and next candidates.

Best for: Firms that know which workflow to fix first, from a workshop or their own analysis, and want it working this month rather than this year.

What a sprint can build

  • Client intake portals. One secure form that collects what you need the first time and routes it to the right person, instead of an email thread and a spreadsheet.
  • Document collection. Per-client checklists, secure upload, and automatic reminders that stop when the last document arrives.
  • Workflow automation. Every request gets an owner, a status, and a dated next step, with an exception queue someone actually watches.
  • Integrations. Connect the tools you already pay for so the same information is entered once.
  • Dashboards. One view of volume, aging, and bottlenecks, with every number traceable to the records behind it.
  • Bounded AI assistants. A tool that drafts a follow-up email, summarizes a document, or sorts incoming requests, scoped to one job, with a person approving the output.

How AI is kept bounded

An AI assistant in a sprint does one named job for one named role. It works only on the data the scope allows, shows where its answer came from when that is possible, and stops for a person to approve before anything goes to a client or into a file. Prototypes run on sample or synthetic data until you approve a path for real records. The provider, model settings, and data retention terms are chosen with you and written into the access record.

Why the price is fixed

The scope is written before work starts: the workflow, the users, the systems, the exclusions, and the tests that prove it works. That is what lets the price be fixed. If you change the scope mid-sprint, we write down the change and its effect on price and schedule before doing it.

How it runs

4 steps, each with something you can see.

  1. Lock the scope

Confirm the workflow, the users, the systems, the data boundary, and what done means, in writing. The price does not move unless the scope does.

  2. Build in slices

Each week ends with a working piece you can click through. Feedback goes into the next slice, not a change order.

  3. Test with your people

Your staff run real scenarios, including the awkward ones. Exceptions get a defined path, not a shrug.

  4. Launch and hand off

Go live, train the team, and hand over the admin guide and access record. Support continues under a retainer if you want it.

Limits

What this is not.

Stated up front so the scope has no surprises.

  • One sprint delivers one bounded workflow. A second workflow is a second scope.
  • BCA builds on tools you already license where they fit. Replacing a practice-management or accounting system is a different project.
  • AI assistants are drafting, sorting, and summarizing tools. They do not make client decisions, give professional advice, or send anything without a person approving it.
  • BCA holds no SOC 2 report or ISO certification. Builds stay inside the security controls your firm already runs.

Usually next

Ongoing Support Retainer

After launch, a retainer keeps the automation working and adds the next improvement from the list.

Why Be Chosen Agency

A small firm that builds carefully, and says what it does not do.

The same delivery rules BCA uses for federal work apply to every commercial build.

  • Veteran-owned, founder-led

Be Chosen Agency is an SBA-certified Service-Disabled Veteran-Owned Small Business. Teton Wilson, a U.S. Air Force veteran, scopes the work, leads the build, and signs the handoff.

  • Security-minded by default

Builds live in accounts your firm owns, with the least access the work needs, and every account and permission is listed at handoff. BCA holds no SOC 2 report or ISO certification, so it works inside the controls you already run.

  • Bounded AI, human review

Each AI function does one named job and stops for a person to approve before anything reaches a client or a file. Prototypes use sample or synthetic data until you approve real records.

  • Local to the Valley

Based in Peoria, in the Phoenix metro. Workshops and training can run at your office, and build work runs on Arizona time.
